How to Respond to Yelp Reviews
Yelp gives businesses two different reply tools — a public comment and a private direct message — and picking the right one matters as much as what you say. Use the generator below to write a reply for your actual review.
Review Response Generator
Paste the review, fill in what's actually true about it, and get a ready-to-post reply.
Public Comment vs. Private Direct Message
Yelp is structurally different from most platforms here: a business can post a public comment, visible under the review to every reader, or send a private Direct Message, visible only to the reviewer. There's also a one-click private "Thank" action available on 4- and 5-star reviews. A specific, genuine complaint is usually worth a public comment — that's what future customers actually read before choosing a business. Reserve a private message for details that genuinely shouldn't be public, and use "Thank" as a quick way to acknowledge a positive review without adding to a page of visible replies.
How to Respond to a Negative Yelp Review
Reference the specific complaint — "the wait was longer than we quoted" reads completely differently from "sorry you feel that way." Take ownership of what's genuinely the business's to own, avoid arguing publicly, and give a concrete next step. Post it as a public comment so every future reader — not just the reviewer — sees how the business handles a real problem.
Yelp Review Response Examples
1-star, wait time complaint, unresolved
"Thanks for taking the time to share this — a wait that long isn't what we aim for, and I'm sorry. We're looking into what caused the backup that day. Please reach out to us directly with your visit details so we can look into your case specifically."
2-star, order mix-up, resolved with replacement
"I'm sorry the order came out wrong — that's on us. We've sent out a replacement already. If it's not right this time, please reach out directly and we'll make sure it's handled."
1-star, no matching customer record
"We take feedback like this seriously, but we don't have a record matching a visit with these details in our system. If you can reach out directly, we'd like to look into it properly."
How to Respond to Positive Yelp Reviews
For a genuinely glowing review, Yelp's private "Thank" often fits better than a public comment — it acknowledges the reviewer directly without stacking up visible business replies. If you do reply publicly, keep it short and specific: thank the reviewer and mention the one thing they actually praised, rather than a generic "thanks for your business" that could sit under any review.
Yelp 5-Star Review Response Examples
Service praise (public comment)
"Really glad the visit went smoothly — that's exactly what we aim for. Thanks for taking the time to write this up."
Staff praise (public comment)
"Thank you for the kind words — I'll make sure the team sees this. Looking forward to seeing you again."
Yelp Review Response Templates
These work as a starting structure — acknowledge, address the specific point, give the honest next step, close — but the body still needs to name the actual complaint or compliment.
Template: service issue (public comment)
"Hi [Name], you're right that [specific issue] wasn't the experience we aim for, and I'm sorry. We're looking into what caused it. Please reach out to us directly so we can make this right."
Template: thank-you for a positive review
"Thank you for the review, [Name] — really glad [specific thing praised] worked out well. We appreciate you taking the time to share this."
How Long Should a Yelp Review Response Be?
Yelp doesn't publish an official length limit. A five-star thank-you fits in one or two sentences; a negative review describing a real issue usually needs three to five sentences to acknowledge it properly and give a next step.
What Should You Never Say in a Yelp Response?
Never claim a refund or fix happened if it hasn't — a public comment sits under the review indefinitely, and a reviewer can contradict it. Never solicit the reviewer to change or remove their review — Yelp's guidelines explicitly prohibit pressuring reviewers, and it can backfire publicly. Never post private account details in a public comment; use a Direct Message for that. And never post the same generic reply on every review — Yelp readers notice.
What If Responding Isn't Enough?
A good public comment handles the visible conversation on that specific review. It doesn't change which reviews Yelp's recommendation software counts toward your star average, and it doesn't add review volume on its own. If the underlying problem is a damaged rating or too few Recommended reviews, that's worth solving separately with more genuine review volume.
