How to Respond to Trustpilot Reviews
A strong Trustpilot reply acknowledges the specific issue, avoids sounding defensive, is honest about what's actually being done, and keeps private account details out of the public reply. Use the generator below to write one for your actual review.

How to Respond to a Negative Trustpilot Review
Reference the specific complaint — "the delivery took longer than the window we gave you" reads completely differently from a generic "sorry you feel that way." Take ownership of what's genuinely the business's to own, don't argue the details publicly, and give a concrete next step. Trustpilot publishes the reply directly under the review, so it's read by everyone who reads the review itself, not just the original reviewer.
Trustpilot Negative Review Response Examples
1-star, delivery complaint, unresolved
"Thanks for taking the time to share this — a delay like that isn't the experience we aim for, and I'm sorry. We're looking into what caused it on our end. Please reach out to our support team with your order details so we can dig into your case specifically."
1-star, customer service complaint, refund issued
"I'm sorry the support experience didn't meet the standard we hold ourselves to — that's on us. A refund has been issued for this order. If anything's still unresolved on your end, please reach out directly and we'll make sure it's handled."
2-star, pricing complaint, no matching record
"We take feedback like this seriously, but we don't have a record matching an order with these details in our system. If you can reach out directly with an order number or account email, we'd like to look into it properly."
1-star, damaged item, replacement already sent
"I'm sorry the item arrived damaged — that's not the experience we want anyone to have. A replacement has already been sent out for this order. If it doesn't arrive in good condition this time, please reach out directly and we'll sort it out."
2-star, subscription cancellation, unresolved
"Thanks for the honest feedback on the cancellation process — that friction is on us to fix, not something you should have had to deal with. We're looking into what made it harder than it should have been. If your cancellation still hasn't gone through, please reach out to our support team directly."
How to Respond to Positive Trustpilot Reviews
Keep it short and specific — thank the reviewer and mention the one thing they actually praised, rather than a generic "thanks for your business" that could sit under any five-star review. It doesn't need the depth of a negative-review reply, but a brief, genuine response still signals an actively managed Trustpilot profile.
Trustpilot 5-Star Review Response Examples
Product praise
"Really glad it's working out well for you — the setup being straightforward is something we work hard on, so it's great to hear it landed. Thanks for taking the time to leave this."
Service/support praise
"Thank you for the kind words about the support team — I'll make sure they see this. Looking forward to working with you again."
5-star, no written comment
"Thanks for the five stars — really appreciate you taking a moment to leave it. Let us know if there's ever anything we can do better."
Trustpilot Review Response Templates
These work as a starting structure — acknowledge, address the specific point, give the honest next step, close — but the body still needs to name the actual complaint or compliment. A reply that could be copy-pasted under any review reads as automated, and Trustpilot readers notice.
Template: service delay
"Hi [Name], you're right that [specific delay] wasn't the experience we aim for, and I'm sorry for the inconvenience. We're looking into what caused it so it doesn't happen again. Please reach out to our support team so we can make this right."
Template: thank-you for a positive review
"Thank you for the review, [Name] — really glad [specific thing praised] worked out well for you. We appreciate you taking the time to share this."
What to Say When the Customer Is Angry
Resist the instinct to defend the business's side of the story point-by-point in public — readers tend to side with whichever party sounds calmer, not whoever technically has the better argument. Acknowledge the frustration as real, take ownership of what's genuinely the business's to own, and move the detailed back-and-forth to a private channel rather than litigating it under the review.
How Long Should a Trustpilot Review Response Be?
Trustpilot doesn't publish a strict length limit or requirement, so the right length is whatever the situation actually needs. A short, specific thank-you covers a five-star review in one or two sentences. A negative review describing a real service failure usually needs three to five sentences to acknowledge the issue, take ownership of what's the business's to own, and give a concrete next step — going much longer than that tends to read as over-explaining or defensive.
What Should You Never Say in a Trustpilot Review Response?
Never claim a refund, replacement, or fix happened if it hasn't — that's a factual claim sitting permanently under the review, and it's easy for the reviewer to contradict publicly if it's not true. Never argue that the reviewer is lying or question their honesty in public, even when the account seems exaggerated — dispute the specific facts calmly instead. Never post any private account detail (order numbers, email addresses, amounts, internal case notes) in the public reply; keep that in a private follow-up. And never post the same generic reply on every review — Trustpilot readers notice a copy-pasted response, and it undercuts the impression a real business is behind it.
Should You Respond to a Review You Think Is Fake?
Yes — respond calmly and factually rather than staying silent while you sort out whether it qualifies for removal. A reply like "we don't have a record matching these details in our system, please reach out with your order information" is accurate whether or not the review turns out to be genuine, and it shows every other reader that the business investigates rather than ignores. Responding doesn't cost you the ability to also flag the review — see what actually qualifies for removal and do both in parallel, not one instead of the other.
Can You Edit a Trustpilot Review Response?
Yes — Trustpilot lets a business edit or remove a reply it already posted, from the same Business account interface used to write it, and the reviewer is emailed a notification when a reply goes up. One thing worth knowing: Trustpilot allows exactly one reply per review, not a back-and-forth thread, so an edit replaces that single reply rather than adding a new one. Treat the first version as the one that counts — an edited reply that walks back an earlier claim reads worse than getting it right the first time. Trustpilot doesn't publish an exact character limit for replies (that's different from the 4,000-character limit on writing a review itself), so there's no hard length constraint forcing brevity the way some platforms have.
What If Responding Isn't Enough?
Responding well handles the visible conversation — it's what every future reader sees when they land on that specific review. It does not, by itself, repair the number next to your company name. TrustScore is a mathematical function of your review ratings; a well-written reply doesn't move it, even though it occasionally leads a reviewer to update their own rating once a complaint is actually resolved. If the underlying problem is a damaged rating or too many negative reviews sitting alongside good ones, that's a review-volume and, where relevant, a removal question — not a response-writing one, and the two are worth solving separately.
