How to Respond to Google Reviews
A strong Google reply acknowledges the specific issue, avoids sounding defensive, is honest about what's actually being done, and keeps private account details out of the public reply. Use the generator below to write one for your actual review.

How to Respond to a Negative Google Review
Reference the specific complaint — "the technician arrived outside the window we gave you" reads completely differently from a generic "sorry for the inconvenience." Take ownership of what's genuinely the business's to own, don't argue the details publicly, and give a concrete next step. Google publishes the reply on both Maps and Search under the review, so it's read everywhere the business shows up, not just wherever the reviewer first posted.
Google Review Response Examples
1-star, service delay, unresolved
"Thanks for taking the time to share this — arriving late isn't the experience we aim for, and I'm sorry. We're looking into what caused the delay. Please reach out to our office with your visit details so we can look into your case specifically."
1-star, billing complaint, refund issued
"I'm sorry the billing experience didn't meet the standard we hold ourselves to — that's on us. A refund has been issued for this charge. If anything's still unresolved, please reach out directly and we'll make sure it's handled."
2-star, wrong location, no matching record
"We take feedback like this seriously, but we don't have a record matching a visit with these details. If this review may be for a different location or business, or if you can share more details, we'd like to look into it properly."
How to Respond to Positive Google Reviews
Keep it short and specific — thank the reviewer and mention the one thing they actually praised, rather than a generic "thanks for your business" that could sit under any five-star review. It doesn't need the depth of a negative-review reply, but a brief, genuine response still signals an actively managed profile.
Google 5-Star Review Response Examples
Service praise
"Really glad the visit went smoothly — punctuality is something we work hard on, so it's great to hear it showed. Thanks for taking the time to leave this."
Staff praise
"Thank you for the kind words — I'll make sure the team sees this. Looking forward to working with you again."
Google Review Response Templates
These work as a starting structure — acknowledge, address the specific point, give the honest next step, close — but the body still needs to name the actual complaint or compliment. A reply that could be copy-pasted under any review reads as automated.
Template: service issue
"Hi [Name], you're right that [specific issue] wasn't the experience we aim for, and I'm sorry for the inconvenience. We're looking into what caused it so it doesn't happen again. Please reach out to our office so we can make this right."
Template: thank-you for a positive review
"Thank you for the review, [Name] — really glad [specific thing praised] worked out well for you. We appreciate you taking the time to share this."
How Long Should a Google Review Response Be?
Google doesn't publish an official length limit for replies. A five-star thank-you fits in one or two sentences; a negative review describing a real service failure usually needs three to five sentences to acknowledge the issue, own what's the business's to own, and give a next step — longer than that tends to read as defensive over-explaining.
What Should You Never Say in a Google Review Response?
Never claim a refund or fix happened if it hasn't — that claim sits publicly under the review indefinitely, and a reviewer can contradict it. Never question the reviewer's honesty in public, even if the account seems exaggerated. Never post private account or order details in the public reply — take that to a private follow-up. And never reuse the same generic reply on every review; Google readers notice, and it undercuts the sense that a real business is behind it.
Should You Respond to a Review You Think Is Fake?
Yes — respond calmly and factually while you separately look into whether it qualifies for removal. "We don't have a record matching these details" is accurate whether or not the review turns out to be genuine, and it shows every other reader the business investigates rather than ignores. See what actually qualifies for removal and do both in parallel.
Can You Edit a Google Review Response?
Yes — a business can edit or delete a reply at any time from its Google Business Profile. Every reply is reviewed against Google's content policies before it appears (Google doesn't publish an exact turnaround time), and once live, the reply shows on both Google Maps and Search simultaneously — wherever the business's profile appears, not just one surface. There's no official character limit published for replies.
What If Responding Isn't Enough?
Responding well handles the visible conversation — it's what every future reader sees when they land on that specific review. It doesn't, by itself, repair the star average next to your business name; that's a mathematical function of your ratings. If the underlying problem is a damaged rating or too many negative reviews sitting alongside good ones, that's a review-volume and, where relevant, a removal question — worth solving separately from how the reply is worded.
